How to make the most out of MinutesIQ

Optimize MinutesIQ for every meeting

1. Preparing the agenda

To get the most out of MinutesIQ, prepare your agenda the way you want your minutes to be structured.

Sub-topics: If you include sub-topics, MinutesIQ will use them to organize information hierarchically.

Pre-written resolutions: If you want your resolutions included in the minutes, add them directly to the agenda before the meeting. MinutesIQ will pick them up and insert them in the right place.

2. During the meeting

MinutesIQ only captures what is said out loud. For complete and accurate minutes, make sure to verbalize key moments.

Events to announce: Mention out loud any information you want included in the minutes, for example, the opening and closing time of the meeting, a member arriving late, etc.

Examples: "We officially open the meeting at 2:03 PM." / "Welcome to Marc, who is joining us."

Movers and seconders: If a member moves or seconds a resolution, say it out loud so MinutesIQ can capture it.

Golden rule: Respect speaking turns and avoid talking over each other to ensure accurate transcription.

3. Based on your meeting format

Virtual meeting

This is the format where MinutesIQ performs best. Attendance, movers, seconders, and speaking turns are identified automatically.

Hybrid meeting

Virtual participants are easily recognized. For in-person participants, a quick roll call at the start of the meeting helps confirm attendance.

In-person meeting

MinutesIQ must be able to join via a videoconferencing link to listen to the discussion, even if all participants are in the same room.
