How to add subtopics to my agenda
Group several items under a single topic and keep clear numbering, from the agenda all the way to the minutes.
Many boards present topics that naturally include several items. For example, a "Governance committee report" topic might include adopting the committee's minutes, a recommendation to adopt a resolution, and a supporting document. With subtopics, each item has its own place and its own number, and can have its own details, documents and resolution drafts.
Add a subtopic
- In the agenda, hover just below the relevant topic. A "+" button appears on the dividing line. Click it, then select New subtopic.
- The form opens directly below the main topic. The subtopic number (for example, 4.1.) is automatically added at the start of the Title field.
- Fill in the subtopic fields:
- Title : enter the title after the number
- Responsible : choose a person, or None
- Estimated time (minutes)
- Type : Information, Decision, Discussion, etc.
- Details : add an explanatory text if needed
- Click Save. The subtopic appears below the main topic, with its number, estimated time and type.
Note : you can also add a subtopic to a subtopic to further structure the more detailed items on your agenda.
Edit or delete a subtopic
- To edit a subtopic, click the pencil icon to its right.
- To delete it, open it for editing, then click the trash icon next to the title.
Numbering and estimated time
- Subtopics are numbered automatically in decimal notation based on their position. For example, the subtopics of topic 4 become 4.1, 4.2, 4.3, etc.
- If the order changes, the numbering updates automatically. No manual correction is needed.
- The main topic's estimated time automatically equals the sum of its subtopics' estimated times.
In the minutes
The agenda structure is carried over faithfully to the minutes:
- When writing the minutes, the secretary sees the same structure, in the same order.
- Subtopics appear as numbered sections (4.1, 4.2, etc.).
- Resolutions adopted under a subtopic appear under the corresponding section.
- Documents and links are not carried over to the minutes.
Example
6. Audit committee report
- 6.1 Financial statements as of March 31, with the financial statements as a document
- 6.2 Auditor's report, with the audit report as a document
- 6.3 Recommendation to adopt the financial statements, with a resolution draft
In the minutes, you will find sections 6.1, 6.2 and 6.3, with the resolution under section 6.3.
